Purpose: To enter the Condominium and Unit information into CONDUIT.
NOTE: Please do not change the column headers' names or positions in the worksheet, as this may cause import errors.
Company Tab
-
Company information (Company name, address, phone/fax numbers, website, and GST if available)
- Company information should be for your Property Management Company, not the individual Corporation(s)
- We recommend saving a copy of the import document with the Company information already inputted and prepared for future imports.
Corporation Tab
- Corporation ID: Default is 1. If entering multiple corporations, assign different numbers (e.g., Corp A = 1, Corp B = 2) to keep units organized.
- Corporation Name: Enter the Corporation Plan (e.g., TSCC1243).
- Common Name: If the Corporation does not have one, use the Corporation Plan acronym.
- Contact Address: Main office address of the Property Management Company
-
Site Address: Corporation’s location.
- If multiple addresses, group them (e.g., 100-300 First St / 800-900 Second St for 100, 200, 300 First St & 800, 900 Second St). Use abbreviations if needed (e.g., St for Street).
- Common Element: Enter Y or N (only for Common Element Corporations).
NOTE: Corporation ID should be consistent throughout the import. This links the information in each tab to the Corporation being imported.
Units Tab
- Suite (number on the door), Legal Unit, and Legal Level which would be provided in the Declaration or amendment to the Declaration.
-
Types would be Residential, Commercial, Parking, Locker, BSU (Bike and Storage Unit), and PLU (Parking and Locker Unit).
- For more information on Unit Types, specifically Parking and Lockers, click here.
- Unit Information Street address, City, Province and Postal Code
- PIN/Description - used for Geo-Warehouse integration. If this information is unavailable, please leave the columns blank.
-
Deeded separately
- Meaning the residential/commercial unit and the parking/locker/storage unit each have their own legal ownership record in the land registry (two separate deeds).
- Because they are legally separate entities, each one requires its own status certificate.
- Example: One certificate for the condo unit and one certificate for the parking unit.
-
Not deeded separately
- The parking unit is tied to (part of) the same legal deed as the residential/commercial unit.
- In this case, only one status certificate is needed for the combined property.
Company and Staff Accounts Tab
-
Company and Staff Accounts – For implementations, Company and Staff accounts are required only if a new user needs to be created in CONDUIT. Otherwise, you can leave these fields blank.
- The user only needs to be supplied ONCE in the import for the system to create their user account.
- For more information on Company and Staff Accounts, click here
Document Categories
- Add the name of the Files
- i.e. Declaration, Insurance Certificate, etc.
- When the Corporation is imported, the Document Configuration will not need to be set and only the files will need to be uploaded.
- If no Document Categories are filled out, you will need to create these manually within CONDUIT after the Corporation is imported.
- For more information on how to manually add or change a mandatory document, click here.
Recommendations for a smooth import:
- Retain a copy of the completed import document that was provided to Shiftsuite.
- Keep a blank copy with pre-filled Company information for future use.
- Do not make any changes to column titles or column names, or tab order.
- Do not include formulas or hyperlinks - raw data only.
- Do not delete the yellow highlighted rows. That text must remain in place.
- Do not change the Excel cell type. It should remain as "General".
