Navigation: Property Management > Correspondence Tracking
Purpose: The Correspondence Tracking feature is utilized for promptly recording all activity that occurs.
- Click New
- Select Contact Type
- Select Contact
- Enter in the Correspondence
- select the Correspondence Type
Note:
- You must click on "New" every time you are entering in a new Correspondence
- Save allows you to save the New Correspondence
- Save and New allows you to Save and then proceed to enter in a New Correspondence
Special Note:
- The date will automatically populate with the current date and time that can be modified
- If you modify the date and time, the actual date and time will be inserted into the Log.
- If you set "Duration Time" and "Reminder" and once the form is saved, it will create and appointment in the Admin Calendar with the reminder of the date/time you selected.
- The "Attachment" option allows you to add a document to the Correspondence. This is useful when the Correspondence is an email and may be attached by clicking on the “…” button.
There are several ways you can view Correspondence for Owners, Vendors, Directors, Tenants and The Corporation.
- Navigating to the Correspondence tab
- Owner Maintenance
- Corporation Maintenance
- Selected Vendor in Vendor List
- Click on Correspondence Tacker
- Select Contact type and use the navigation bar
- Click on "Activity Tracker" in
- Owner Maintenance
- You must be in the selected unit
- Corporation Maintenance
- Corporation Directors
- Selected Vendor in Vendor List
- Owner Maintenance
