Purpose: To collect and review the submitted Online Proxies

NOTE: Each proxy includes detailed information, such as the unique ballot identifier/key assigned to the voter, ensuring the integrity, privacy, and security of the voting process.

Once the Online Proxy has reached its deadline, the Property Manager, Chair and Moderator of the meeting will receive an email with reports from the Online Proxy.

• Sign-In Report PDF (Proxy Response Report)
• Tally Sheet PDF
• All Proxies .ZIP
• Confirmation of Service Certificate

Sign In Report

The Sign-In Report (Proxy Response Report) offers a high-level summary of the proxies submitted in order. It includes all units in the list but specifically highlights the owners who have submitted proxies along with their responses.

• Point 1:
  • The unit submitting the proxy (204) has provided answers to all to each section in their proxy form. This proxy would be considered for quorum purpose. 
• Point 2: 
  • The unit submitting the proxy (207) has given the right to vote to their proxy holder and has not voted on any section in their proxy form. This would constitute an additional ballot for their proxy holder during the meeting.

Tally Sheet

The Tally Sheet provides a clear and precise breakdown of the total number of votes each response received for a specific question.

It systematically records and displays the vote count for every answer option, ensuring an accurate and transparent representation of the results.

This allows Admin Users to easily assess which responses were most and least selected, offering valuable insights into the distribution of votes for a given question.

All Proxies .ZIP

The Online Proxy system is designed to gather as much information as possible. The system generates Prescribed Proxy Form(s) (Ontario Condominium Act).

Your .ZIP file will download to your Downloads Folder:

You will need to Extract All by Right-Clicking the .ZIP File:

Once extracted, you will need to select a Destination you wish for the files to be extracted to, the automatic place where it will be stored is within your Downloads Folder, but you can always select an alternate location by selecting Browse:

NOTE: Select the Checkbox "Show Extracted Files when Complete", the extracted folder will pop-up once unzipped. 

A PDF will be provided with the system-generated Prescribed Proxy Form(s) (Ontario Condominium Act).

Confirmation of Service

A Confirmation of Service Certificate is an official document that certifies an individual has successfully completed a designated service, duty, or obligation.

Shiftsuite will issue this certificate as recognition of the completed responsibilities.
