If you are running a Self-Moderated meeting, and are utilizing Shiftsuite's E-Vote Platform, you will be given training on the E-Vote system, and we encourage any questions throughout the implementation.
There may be scenarios where you do not have an email on file for an owner, or an owner stating they have not received their E-Vote Ballot.
The second scenario may happen if an owner has flagged "no-reply" emails as junk, essentially receiving their ballot within their junk/spam/promotions E-mail Folders, or using alternate emails during the meeting.
To send the ballot to owners who do not have an email on file, please log in to evote.shiftsuite.com.
Using the search bar, find the E-Vote instance in question, and use the Edit button or Pencil Icon to enter the ballot data.
Once you've entered the ballot, click over to Owner Details.
If you do not have an email on file for the owner, please request they send you their email using the Q&A feature in Zoom. Using the hyperlink of the "Email Address" line, select this and enter the owner's email they've given you through the Q&A.
If there is a spelling error, or an owner has "No-Reply" emails listed as junk, please confirm their email by asking them to also provide their email within the Q&A feature.
If the email they've given you is different than the one on file, simply click the hyperlink of the email, replace the email that was there prior, and click "Save Email and Send Key". If it is the same, re-send the ballot by clicking "Save Email and Send Key" and suggest they search their email using the name of the ballot. Typically, this will be the Corporation Name - year and E-Vote.
Example: 00BW00 - 2021 E-Vote.
This will refresh the ballot into the owner's email, and any ballots received previously will become null.
Click the email, enter in the applicable changes, and click "Save email and Send Key".
