Navigation: Login Portal - E-Vote (button)
Purpose: Managing the Evote configuration for your Self-Moderated Meeting
When you've booked a Self-Moderated meeting with Shiftsuite, your team will be required to edit and update the E-Vote(s) for the date of the meeting.
You will be provided a Welcome Letter containing your login credentials, as well as training within our system, and how to run the E-Vote.
From Shiftsuite's Login Portal, once you've had your account created, you will see a "Launch" button. Click this button and you will be redirected to E-Vote. Alternatively, go to proxy.shiftsuite.com and log in with the credentials in your Welcome Letter.
The Implementation Specialist assigned to your meeting will inform you once the E-Vote has been prepared, typically this is done the morning of the meeting date.
Search for the Condo's E-Vote you would like to edit using the Search Bar.
Click the Edit button (Pencil Icon), you will be directed to the E-Vote instance (owner ballot data) itself.
You have the option to "Manage Answers" on any questions within your E-Vote.
For example, if you are accepting Nominations from the floor and an owner has come forward and has gone through the Directors Disclosure Statements, you will be required to add their name during the meeting.
To do this, you will need to be in the E-Vote and click Questions, and then Manage Answers.
From here, you have the ability to add, edit and remove the candidates that have put their names forward.
Editing Proxy Holder's Votes
Click the Owner Details option within the E-Vote.
Using the "Sync Proxy Forms" button will sync and deactivate the owners who have submitted an Online Proxy. Keep in mind, you will be required to edit the Proxy Holders' number of votes prior to the meeting start.
NOTE: When the Blue Checkmark is beside the unit owner's email, this means the email is deactivated.
Using the drop-downs under "# of Votes", you have the ability to add extra ballots to each question (depending on which capacity the proxy holder has been given).
NOTE: If there is an Owner-Occupied election, you will need to create a 2nd E-Vote instance and edit the voting rights accordingly.
